What is iOffice?
iOffice will help us reserve workspaces, offices, and conference rooms at DHS locations. iOffice can be used via an internet browser or via the Hummingbird app on your DHS iPhone.
Using iOffice, you can:
- Choose your workspace (a layout of an office is shared so you know exactly where you will be),
- Designate the date and time you would like to use the space, either once or as a recurring appointment,
- Modify or cancel existing reservations, and
- Invite colleagues to share the meeting space as needed.
If you have problems, go to the Infonet Service First Tech and Telework Support – iOffice page.
On this Infonet support page you can find:
- Which offices can use iOffice now,
- Where you can access iOffice,
- Some training videos to show you how to access and use iOffice,
- How to set up the Hummingbird App on your mobile phone, and
- Where to find help.
If iOffice is not currently available for your location, future offices will be announced as iOffice becomes available for use in those locations.
Basic Steps:
Click on iOffice and the Welcome to iOffice page appears. From the Welcome to iOffice page you are allowed to find Space for possible Reservation for offices throughout the state, and make, change, or cancel your reservations, as well as use a search through a statewide employee directory.
If you click on the Space icon in the left column you can find two options:
- Space Desktop – View Occupancy, Statistics, and Manage Space, or
- Help – Display Available Help Information.
To find and reserve space, Click on the Space icon in the middle of the Welcome page, and then click on the office/hub in which you wish to reserve space.
After clicking on the office/hub (or Space Center), a map will appear showing the office location as well as the number of building floors.
Click on the floor on which you want to reserve a space and an office layout of that floor will appear to help you decide what space you want to reserve.
The easiest way to create a Reservation is using the colors in the floor layout. The colors refer to spaces that are non-occupiable (gray), occupied (green), reservable (blue), and vacant (white).
When you find a reservable space you want to use, you can right-click on that space which opens the Create Reservation window.
Additional Information
To help manage your reservations, click on Reservations icon in the left column. There you will find four options:
- My Reservations – Create and modify your reservations
- Space Availability – See upcoming reservations and book spaces
- Reservation Queue – Create and modify reservations
- Help – Display Available Help Information
Also in the left column, you can click on Directory icon to search for people. There are three options:
- Quick Search – Display Quick Search page
- Search – Display Search Page
- Help – Display Available Help Information
Now that you know the basics of iOffice, for scheduling of reservations be sure to also set up the iOffice Hummingbird app. It is quite easy to set up and once you have it installed, it is very simple and straightforward to use. Access the First Time Setup – Hummingbird pdf.
