Centralized Mail

  • Centralized mail can be utilized for printing and mailing.

Steps to use the Centralized Mail Program:

  1. Complete the “Centralized Mail Cover Letter” (00AD010E). This form will provide the outgoing and return address and a location on the cover sheet for the Mail Center staff. This form must be attached to each request if a complete return address doesn’t already exist on the form to be mailed.
  2. Send an email to centralized mail. It is important to start a new email for each request.
  3. In the body of the email please include in Bold Red Text any special instructions i.e. “Please send return postage envelope with this letter”.
  4. Attach the letter to be printed.
  5. Send the email to Centralized Mail. The email addresses for both OKC and Tulsa may be found on the CSS home page of the InfoNet in the Who Can Help document or by clicking here.
  6. Set a read receipt if you care to know when your email and letter were processed.
  7. Send a separate email for each recipient.
  8. Include recipient’s first and last name at the start of the email subject line.
  9. Please try to limit attachments to less than six
  10. Make sure all addresses contain a street address or PO Box, City, State and zip code.
  11. Please include total page count in the body of the email so we’re certain we received all intended documents (five attachments with five pages each would be 25 pages).

Notes: The Mail Center will print the attachments in a combined manner and print on both sides of the paper. If it is important that the documents appear in a particular order to the recipient, consider using Adobe Pro to organize pages and/or combine documents in the order and manner that you want them to appear.

International mail may also be sent using this process. Include the word “international” in the subject line after the recipient’s name.
