Tracking customer-requested modifications results in the following benefits:
- Offices can streamline recordkeeping of requests
- The actual office workload for requested modifications can be measured
- The CSCU screen contains a field to record when a customer requests a modification
- A record of request is also present on the CSH screen
- There are two reports that assist the offices in keeping track of modification requests
Also, OBLRV allows workers to open all obligations at one time, instead of updating on each obligation sequence.
Tracking Process for Customer-requested Modifications
CSCU
There is an indicator present on the CSCU screen.
If a request for review is received the worker will place a Y in the MOD REQ field. A date is also required. The date should be the date that the customer requested the modification. The fields will automatically be updated and return to blanks when the OBLRV screen is updated to show the initiation of a review on any obligation on the case.
If the review fields are filled out in error a worker can remove the information by simply spacing through them.
CSH
The review request information will also update on the Case History Screen (CSH).
New Reports
Mod Reviews Requested by Customers report (CS874M01)
This report runs monthly on the first weekend. The report lists the cases that a review has been requested for that month.
Customers Mod Req Removed Report ( CS874M02)
This report lists the cases that have been removed from the request list and the reason they have been removed for that month.
Existing Modification Requests
All modification requests that offices currently have should be added on the CSCU screen. This would be cases that a modification request has been received but the OBLRV screen has not been opened.
Pro Se Modifications
Pro Se Modifications only need to be tracked if the caseworker will work the case. For example, the NCP requests a modification. They are given a Pro Se Modification packet in case they want to proceed with the modification before the caseworker is available to work it. This would need to be tracked and the worker plans on completing the review of the modification request.
This process does not replace updating the OBLRV screen. This is a tool to assist offices in keeping track of customer requested modifications.
Updates to the OBLRV and RADET screens
The OBLRV screen has a field that the worker can use to open an OBLRV on all obligation sequences at one time. The worker does not need to go into each obligation sequence and open the OBLRV when reviewing the case for a modification.
If all obligation sequences need to have the review open enter a Y. If only reviewing the obligation sequence that was accessed then enter a N.
When the worker opens the review from the RADET screen, there is a field to update if all obligation sequences are to be opened for review.
Once the review is completed each obligation sequence that has a review (OBLRV) open will need to be closed individually.
