How to User Generate M03s in ALC

The Notification of Insurance Availability (M03) is a letter sent to the custodial person (CP) informing them CSS has received information indicating the child(ren) have been enrolled in health care coverage.

Generating the M03 in ALC requires the following key variables: AP Number, BP Number, CP Number, TPL Policy Carrier, TPL Policy Holder DCN, and TPL Policy Number.

AP number, BP number, and CP number can all be found on the CSML screen.

To access the other key variables needed to generate the M03, tab down on CSML to a child that is covered on the health care coverage policy and type CPOLK.

Press enter to see a list of all the policies that the child is or was listed on. To view more information about a specific policy, tab to that line and enter POLD.

Pressing enter will show you the screen below, which will give you the other key variables you need in ALC to complete the form (TPL Policy Carrier, TPL Policy Holder DCN, TPL Policy Number). For the TPL Policy Carrier, you do not need to enter the leading zeroes. From this screen, you can also press the F7 key to confirm which child(ren) is/are covered on this policy.

If you press the F7 key, you will see this screen, which lists all the children who are covered on the policy. Any child listed where the End Date is greater than today’s date will appear on the letter (many policies built by ESC will show an End Date of all 9s). This screen will also show you the TPL Policy Carrier, TPL Policy Holder DCN, and TPL Policy Number.

So now, using the example from the FGN above, we enter the following in ALC to get the document to generate.

You can then see in ALC, the health care coverage information from this policy and all the key variables you entered pull over into the letter.
