How to Update an Employer

When dealing with NCP employment information, you may need to add a new employer or update an existing one. The APEU (Absent Parent Employment Summary) OSIS Screen will help with this.

To add a new employer:

You can search for an employer by name or by FEIN (Federal Employer Identification Number). If you have the FEIN, that method is preferred.

To search by employer name:

  • Tab to the ENTER FEIN/EIN AND PRESS PF5 TO ADD NEW AP EMPR field.
  • Enter the name of the employer and press F5.

To search by FEIN:

  • Tab to the ENTER FEIN/EIN AND PRESS PF5 TO ADD NEW EMPR field.
  • Check to see if any of the employers listed match the employer you are looking for. If there is a match, tab down next to it, type ‘S’ and press Enter.

This will take you to the APED screen to enter details about the employer.

  • Tab to the highlighted fields and type in the information. Most common codes for source are listed. See OSIS Screen Books for additional codes. The comments field allows up to two lines of text.
  • Press Enter. The employer is now added.

There are two types of employer addresses:

Type 30

  • This address type identifies the employer based on their FEIN.
  • Always use this address type if available.
    • This allows OSIS automation to work correctly.
  • If you need a type 30 address built, send the information to ESC (Employer Services Center) at EmployerAddressRequest@okdhs.org
    • Caseworkers do not have access to build type 30 addresses; only ESC and some STO (State Office) staff can build this type.
    • ESC will build and notify you that the address is ready to be used.

Type 05

  • This address type is used when there is no FEIN available.
  • Attempt to contact the employer to ask them for their FEIN.
  • Should only be built when ESC indicates that there is no FEIN and the district office should build the type 05 address.
  • Will not allow OSIS automation to work properly.

To update employment information

  • Access APEU screen by typing “APEU”.
  • Tab to the employer that you want to update. Type ‘S’ next to it and press ENTER
  • This will take you to the APED screen to update information for the selected employer.
  • If you are updating more than one employer, you will need to repeat this process for each employer.

To move an employer to history

  • From the APED screen, tab to the employer that you want to move to history. Type ‘S’ next to it.
  • Press Enter.

This will take you to the APED screen to enter details about the employer.

  • Tab to the highlighted fields and enter the information:
    • Enter an ‘L’ in the verified field to move the employer to history.
    • If you do not know the date that the NCP terminated employment with the employer, leave this field blank.
  • Press Enter.
  • The employer is now moved to history.
  • If you are updating more than one employer, you will need to repeat this process for each employer.

To view employment history

  • Access APEH by pressing the F6 key from the APEU screen or by simply typing “APEH”.
  • Lists previous employers
  • To access detailed information on a specific employer:
    • Tab next to the employer you want to look at, type ‘S’ and press Enter.
    • This will take you to the APED screen where you can view details about the employer.

If the NCP becomes employed by the same employer again, you will need to enter the employer on the APEU screen.

You cannot update the employer on the APEH screen to make them an active employer again.
