What OKESC Updates for Returned Documents

Depending on the document received, the Oklahoma Employer Services Center (OKESC) may be:

  • adding an employer or terminating an employer,
  • adding or removing insurance or
  • rerouting incorrectly delivered mail.

This information is entered into OSIS when received at the OKESC. Documents received in a district office may be forwarded to the OKESC for processing.

The OKESC updates the following screens:

APEU Screen is accessed each time a document regarding NCP employment is received. This screen allows you to view current employer information for an NCP (updates are not made to this screen)
APED Screen is updated each time new information about a NCP’s employment is received DATE EMPLOYED, SOURCE, VERIFIED, DATE, TERMINATED & INSURANCE STATUS
CPEU Screen is accessed each time a document regarding CP employment is received. This screen allows you to view current employer information for a CP (updates are not made to this screen)
CPED Screen is updated each time new information about a CP’s employment is received DATE EMPLOYED, SOURCE, VERIFIED, DATE, TERMINATED & INSURANCE STATUS
POLA (for initial entry)

(CPOLA for NCP, CPOLB for BP, CPOLC for CP, CPOLK for child)

The POLA provides a blank screen for entering policies. The CPOLA, CPOLB, CPOLC and CPOLK provide information for viewing and for data entry. POLICY NO., GROUP NO., POLICY TYPE, CARRIER CODE, POLICY RENEWAL DATE, POLICYHOLDER CSED ASSOCIATION, AP/FGN & AP EMPLOYER SEQ.
POLD Screen is accessed and/or updated each time new information about a policy is received POLICY NO., GROUP NO., POLICY TYPE, CARRIER CODE, POLICY RENEWAL DATE, POLICYHOLDER CSED ASSOCIATION, AP/FGN & AP EMPLOYER SEQ.
POLMEMA Screen is populated each time new information about coverage is received AUTO/MANUAL UPD, STA/VER, BEGIN DATE, END DATE & COVERAGE TYPES
POLMEMU Screen is accessed and/or updated each time new information about coverage is received AUTO/MANUAL UPD, STA/VER, BEGIN DATE, END DATE, & COVERAGE TYPES
ASA Screen is accessed and/or updated when address information is provided by an employer, NCP or CP This screen allows you to view address information for NCP or CP (updates are not made to this screen)
ADA Screen is accessed and/or updated when new NCP address information is provided by an employer, NCP or CP ADDR 1, ADDR 2 (IF NEEDED), CITY, STATE, ZIP, HOME (IF GIVEN), WORK (IF GIVEN), OTH (IF GIVEN), TYPE (IF OTH FIEL DIS POPULATED THIS IS A REQUIRED FIELD), SOURCE, ADDRESS VERIFY, & VERIFY DATE.
DOCL Screen is updated by OKESC Staff Assistants on M05 & L05 when form is received to avoid multiple printings from generating. Screen is updated by ESRs on M01, M04, M05, M05C, L05, Med5 & Med5C when form is processed ACTION CODE & RSP DT
CHIA Screen is updated by ESRs when a Med5 is processed ALL CHILDREN SAME, INS ACCESS & INS REAS
CSLOGA Screen is updated by Staff Assistants, ESRs & supervisors when cases are accessed based on a form, phone call or action taken. Case logs are mandatory for any and all documents received by OKESC. Additionally, all calls (incoming or outgoing) about a particular case must be logged as well.
Note: The OKESC does not have access to the OBLU, OBLN, OBLE, or CHMU screens. These screens are updated by the district offices. The OKESC does have access to the CHIA screen and enters information based upon responses from employers with information related to that screen.
